Oregon SurgiCenter has a FT Business Office Lead opportunity available.
Oregon Urology Institute and Oregon SurgiCenter is one of the largest, most advanced urological centers in the Northwest. Oregon SurgiCenter is an outpatient surgery center devoted to urologic procedures.
The Business Office Lead oversees the daily functions of the Business Office and maintains accountability for the overall administration and management of the surgery business office in providing efficient, high quality, patient/family focused care. Areas of responsibility include admitting, scheduling, and medical records. Providing leadership for administrative excellence, personnel management, fiscal accountability, operational effectiveness, and positive relations with other departments, members of the medical staff, physician practices and institute guests. Provides leadership, support, and direction to business office staff. Identifies areas of improvement for surgical/procedural services.
Key Responsibilities: Establishes and maintains excellent working relationship with surgeons, anesthesiologists, and other managers and staff with a focus on building strong teams, competent and caring staff and a customer-oriented environment.
DUTIES AND RESPONSIBILITIES
- Supervises and directs all business office personnel in the areas of scheduling of surgical procedures, transcription, or operative procedures in accordance with Surgery Center policies, procedures, philosophy and objectives.
- Responsible for environmental control of area.
- Promotes a favorable image of the Surgery Center to physicians, patients, insurance companies and the public.
- Coordinates activities with other departments and participates in obtaining and maintaining qualified personnel.
- May delegate duties as deems necessary.
- Is responsible for direct supervision of non-medical personnel, including orientation and evaluation.
- Ensures that administrative and accounting procedures are carried out according to OSC Accounting Policies and Procedures Manual.
- Orders office supplies.
- Completes patient medical records and employee personnel records.
- Coordinates the Business Office so that the operation is most efficient for all concerned.
- Works closely with the Clinical Director so the flow of the overall operation is most efficient.
- Participates in the Quality Improvement process and activities including the areas of Safety, Medical Records Maintenance, Patient Satisfaction, Physician Satisfaction, Documentation, Compliance with OSHA Standards, and Risk Management.
- Participates in the Safety Committee.
- Maintains regular attendance.
- Maintains CPR certification.
- Follows HIPAA guidelines to ensure patient confidentiality.
- Works closely with materials management to obtain timely and accurate information for AP purposes.
Required Qualifications:
- Self-motivation and the ability to work independently, using appropriate discretion as necessary.
- Maintains the highest degree of confidentiality.
- Excellent professional, organizational and communication skills. Ability to correctly use English language grammatical skills and sentence structure.
- Possesses accurate judgment, especially handling insurance claims and dealing with patient accounts.
- Versatile and willing to coordinate with and participate in, when necessary, all other aspects of the Business Office.
- Is courteous, professional, customer-service, mission-oriented Understanding and sympathetic toward patients, physicians, and others.
- Participates in Quality Improvement activities.
- Maintains regular attendance.
- Maintains CPR certification.
- Ability to handle stressful situations with little or no supervision.
- Ability to treat all customers with the highest degree of respect and dignity.
- Ability to comprehend directions, perform assignments with minimal supervision, be flexible and to work under deadline pressure.
- Ability to provide direction to others that is clear, concise and promotes efficiency.
- Ability to maintain harmonious and enthusiastic working relationship with all patients/physicians and staff.
- Organizational skills, diplomacy, and a high degree of accuracy are essential.
- Must be able to manage conflict, communicate effectively and meet time-sensitive deadlines.
Preferred Qualifications:
- 1-2 years relevant medical experience or equivalent
- High school diploma or equivalent
- Knowledge of medical terminology desirable
- Must have good interpersonal skills.
- Must have strong communication skills, verbal and written.
- Must be flexible and quick learner.
- Supervisory experience in medical setting.
- Experience in working with physicians.
- Strong accounting background in a medically related environment.
- Cooperative work attitude toward and with co-employees, management, patients, visitors, and physicians.
- Have knowledge of medical business office functions.
- Excellent Computer Skills; Windows based PC applications (including Word for Windows, Excel, Microsoft Schedule + Outlook and Windows based EMR/PM
- Working knowledge of professional office functions (telephone etiquette, transcription, copier, reception responsibilities', event planning, etc.)
ABILITIES:
- Ability to communicate with patients and families effectively and professionally.
- Ability to maintain cooperative relationships with interdepartmental personnel. Ability to multitask in a fast-paced environment.
- Ability to speak clearly and concisely.
- Ability to promote favorable Surgery Center image with physicians, patients, insurance companies and the public.
