Oregon SurgiCenter has a FT Medical Records Specialist opportunity available.
Oregon Urology Institute and Oregon SurgiCenter is one of the largest, most advanced urological centers in the Northwest. Oregon SurgiCenter is an outpatient surgery center devoted to urologic procedures.
The Medical Records Specialist is responsible for overseeing the medical records and how they are processed, maintained, stored, retrieved, and distributed in a timely and confidential manner to prevent the integrity of the patient health information.
Key Responsibilities: Maintains patient medical record chart to ensure accuracy of filed documentation, i.e., appropriate signatures, times, and dates. Medical chart is complete and audited.
DUTIES AND RESPONSIBILITIES
- Prepares patient chart for registration and admissions, using the policy for organization of the medical record.
- Verifies that chart is complete the day prior to surgery with all necessary components: Consent, History and Physical, ordered tests, etc. Any missing information from chart the day prior to surgery must be communicated to appropriate personnel.
- Reviews charts following surgery. Checks for completeness.
- Provides follow-up of missing components of the patient medical record when needed.
- Acquires attending physician's signature of operative report. Maintains operative report log.
- Serves as resource person to Front Office Lead, Medical Director and Clinical Director for medical record information needed for committee review or action.
- Acts on requests by patient, legal, or physician for copies of medical record in a timely and appropriate manner and obtain proper authorization. Maintains log regarding patient and/or legal requests.
- Maintains safe and secure filing system of medical records.
- Protects the patient's and Center's rights of privacy and confidentiality by preventing unauthorized persons access to patient's medical record or Center information. HIPAA guidelines are followed.
- Performs audit of facility charts on a regular basis for completeness and accuracy.
- Assists with pre-registration of patients and chart preparation as needed.
- Assists with facility patient scheduling as needed.
- Participates in the Quality Improvement process and activities including the areas of Safety, Medical Records Maintenance, Patient Satisfaction, Physician Satisfaction, Documentation, Peer Review, Compliance with OSHA Standards, and Risk Management.
- Assists in the maintenance of a safe and secure environment for patients, visitors, and employees.
Required Qualifications:
- Possesses strong initiative to get daily work finished and processed.
- Has ability to communicate effectively with patients, physicians, and other staff members.
- Possesses accurate judgment, especially dealing with patients.
- Versatile and willing to coordinate with and participate in, when necessary, all other aspects of the Business Office.
- Is courteous, understanding, and sympathetic toward patients, physicians, and others.
- Participates in Quality Improvement activities.
- Maintains CPR certification.
- Ability to set priorities and work independently.
- Excellent telephone skills.
- Provides cross-coverage of other business office jobs, willingly and efficiently, and deals with issues in a cognizant, logical and timely manner.
- Assists other members of the Surgery Center staff (nursing, medical, business office) in a pleasant and efficient manner.
- Relates to doctors' office staff, patients and public in a pleasant and efficient manner.
- Supports mission and goals of the Surgery Center.
- Excellent Patient Service skills and abilities
- Exceptional attention to detail and organizational skills required.
- Communicating by telephone in a pleasant and helpful manner
- Performs other related duties as required.
Preferred Qualifications:
- 1-2 years relevant medical experience or equivalent
- High school diploma or equivalent
- Knowledge of medical terminology desirable
- Must have good interpersonal skills.
- Must have strong communication skills, verbal and written.
- Must be flexible and quick learner.
- Experience working in a Windows based EMR/PM
ABILITIES:
- Ability to communicate with patients and families effectively and professionally.
- Ability to maintain cooperative relationships with interdepartmental personnel. Ability to multitask in a fast-paced environment.
- Ability to speak clearly and concisely.
All candidates must pass a drug screen, reference, and background check to be considered for employment. All new employees must be fully vaccinated for COVID-19 and able to provide proof on their first day of work.
